Common questions

What does FolioTern cost?

The free tools need no card. Monthly plans are Everyday US$15, Professional US$29 and Teams US$59. Annual options are US$150, US$290 and US$590 paid upfront; crossed-out totals compare 12 monthly payments, not prior selling prices. Signing in does not start a subscription.

Are my files uploaded?

Spreadsheet, PDF page and image tools process files in your browser. Saving a spreadsheet workflow stores its settings and column names, not its rows. The central workspace uploads its records, notes, contacts and requests only when you explicitly save to your account. The separate bank converter uploads extracted financial data only when you choose Save to account. Support requests save the message and your account identity; keep sensitive file contents out of them.

How are money and work records saved?

Money & work tracks the records you enter, with monthly budgets, recurring rules, a 13-week cash-flow projection and tasks. Drafts stay in the open tab. Download a JSON backup or explicitly save financial records to your signed-in account. Sharing uses owner/editor/viewer roles on eligible plans. It does not connect to banks, move money or prepare tax returns.

What can I manage in the central workspace?

Open the control centre for Today, task/project stages, bills, subscription reviews, requests, notes, contacts and workflow rules. Start with a fictional personal, business or people-operations example. All accepted workspace members can read its contents. Only the owner decides requests; editors update other records and viewers read/export. Use a separate workspace with appropriate membership for people operations.

Can FolioTern cancel an outside subscription for me?

In Subscriptions, choose Prepare cancellation for a checklist and open the provider link you entered. Cancel with the provider, then edit your record to enter its confirmation and cancellation date. FolioTern does not contact the provider or cancel automatically. Cancelling services stay in the cost outlook until confirmation is recorded. Record payment links a billing period to one expense.

When do workflow rules run?

Everyday and above: enabled rules check upcoming bills, subscription renewals, overdue tasks or waiting requests when you save or click Run rules. They create internal follow-up tasks once per rule, record and due date. They do not run while the website is closed, use a generative model, send messages or take external actions. Review the run history and export a backup.

How do I get due dates into my calendar?

Choose Export calendar in Today or File tools. Import the downloaded ICS snapshot into your own calendar and review its reminder settings. It includes recorded due tasks, bills and subscription renewals, with no invite recipients. Later changes are not synced automatically, and reminder delivery depends on the calendar you use.

Where are the premium reports?

Open Insights & reports in the central workspace. Everyday adds saved planning reports and workflow rules. Professional adds shared workspaces, recorded owner decisions, team workload and project reports. Teams adds a command centre across owned workspaces and bulk owner decisions. Public examples use fictional records. The server checks paid status and access before using saved account data; existing records remain readable and exportable after expiry.

How does receipt and bill capture work?

On Everyday and above, open Receipt capture in a saved workspace. Where the connection is enabled, approve sending a resized JPEG, PNG or WebP photo to OpenAI. Review the vendor, amount, currency and dates before adding a paid expense or an unpaid bill. It never pays the bill. Monthly owner allowances are 20, 100 or 400 scans across owned workspaces. Original images are not stored as account attachments; recent drafts are available for seven days.

Which files and sizes are supported?

Spreadsheets: CSV, TSV or unencrypted XLSX, 20 MB per file, 50 MB combined, 100 input columns and two million imported cells across sheets. The free plan runs 2,000 total input rows; its cloud workspace has 50 KB storage and 25 tasks. PDF tools: 20 MB per file, 50 MB combined, 200 pages total. Images: 20 files, 24 megapixels each and 80 megapixels combined. Browser memory can impose lower limits.

How do I compare two spreadsheets?

Add the original as file A and the update as file B. Choose a stable ID in both files. Compare one value pair or all shared non-key columns. Duplicate IDs are ambiguous and are not guessed; blank IDs are listed separately. Review flags before export.

How are duplicate rows removed?

Choose full-row matching or selected key columns. Cleanup keeps the first matching occurrence and places removed rows in a separate result sheet. Rows with blank selected keys are retained for review. It cannot decide which conflicting business record is correct.

How do I preserve leading zeroes?

Keep identifiers out of number-formatting selections. Spreadsheet XLSX exports use text cells, preserving values such as 00123 and long numeric-looking strings. CSV has no types; import identifier columns as text in your destination. Digits already lost in the source cannot be reconstructed.

Can I edit, sign, OCR or redact a PDF?

Current PDF tools merge, select/reorder, split, rotate, add visible watermarks and create PDFs from JPEG/PNG. They do not edit existing text, perform OCR, certify signatures or securely redact information. Watermarks leave underlying content in place. Keep originals and review links, forms and accessibility.

How do image resize and compression work?

Choose a maximum width and height. Images fit inside that box without changing aspect ratio or enlarging small files. JPEG uses a white background for transparent areas. PNG ignores the quality setting. Metadata is not retained, and colour appearance or file size can change.

Where are my files and workflows saved?

Local files and results clear when you reload, leave the page or sign in. Download results first. Saved spreadsheet workflows contain settings and column names. Bank statement account history is a separate opt-in storage feature. Saved workflows and documents can be deleted in their respective workspaces.

How do I cancel, request a refund or change billing?

Existing subscribers should use Manage billing for cancellation and payment-method changes. Refunds, disputes and unexpected charges need an operator review through a signed-in support request. The help search cannot issue refunds, access card details or change an account. Never send passwords or card numbers.

What should I do if processing fails?

Use Cancel job, keep your source file and try a smaller input in a current browser. Unencrypted files are required. Remove extra sheets or split long PDFs. If an error persists, submit its text with a fictional or redacted example description; source-file attachments are not collected by support.
